GFT is seeking a Project Administrator to join our GeoDecisions Project Team in Mechanicsburg, PA! This role follows a hybrid work model, requiring regular attendance at our Mechanicsburg, PA office.

What you’ll be challenged to do:

GFT is seeking a Project Administrator to support our Project Leadership Team. This role requires administrative and accounting skills, along with strong organizational abilities.

 
In this capacity, the successful candidate will be responsible for the following:

Project set up:

  • Develop work breakdown structure and budgets using input from fee proposals and enter data into accounting system.
  • Prepare electronic project folders.   
  • Follow up to ensure timely receipt of contractual documents.
  • Support PMs in the creation and execution of subcontractor agreements.
  • Prepare and distribute Project Execution Plans.
  • Prepare and/or coordinate contractual documents for signatures.

Project life cycle duties:

  • Assist Project Managers with compliance with corporate Project Management and Quality Guidelines.
  • Revise budgets based on change orders, amendments, budget reallocations, etc. using internal accounting system.
  • Assist Project Managers with project-related invoicing tasks.
  • Support the Project Leadership Team in interpreting and monitoring project financial information.
  • Monitor Supplier invoices & prepare for processing.
  • Provide leadership to less experienced project administrative personnel.
  • Assist in training Project Manager’s on the administrative and financial aspects of project management.

Project close out:     

  • Review contractual obligations/scope of work & deliverables with Project Managers.
  • Purge and archive records.
  • Meet with PMs and prepare Supplier Evaluations.

Other Duties:

  • Recommend improvements to processes with a focus on continual quality and efficiency improvements
  • Perform other administrative duties as requested.

What you will bring to our firm: 
  • BS Degree in Accounting, Business Administration or related field.
  • 5 years experience in a similar role.
  • Proficiency with the MS Office Suite including Word, Excel and PowerPoint with particular emphasis on complex Excel spreadsheet capabilities including pivot tables, formulas, and complex spreadsheets required.
  • Excellent written and verbal communication skills.
  • Excellent time management skills for deadline-driven functions and ability to handle multiple tasks at one time.
  • Ability to interface with all levels of personnel and management.
  • Possess a high level of attention to detail.
  • Capable of prioritizing your time, to make sure that things get done.
  • Strong attention to detail.
  • Comfortable working with remote teams and utilizing technology to maximize things like asynchronous communication and collaboration.
 
Compensation:
The salary range for this role is $55,000 - $70,000. Salary is dependent upon experience and geographic location.
